Policies and Procedures

1. Archives/Manuscript Collections are available by appointment only.

2. All researchers using Special Collections materials must have on file a completed copy of the Department's registration form and a signed copy of the statement below agreeing to abide by the Department's regulations.

3. All researchers must present personal photographic identification (driver's license, employer's identification card, student identification etc.) at time of registration.

4. No outer coats, briefcases, purses, book bags, binders, folders, or other such bulky items are permitted in the reading room. Special Collections provides the researcher with a secure locker to store their personal belongings while using Special Collections. Even so, we strongly recommend that researchers make secure arrangements to safeguard their possessions, since we cannot be held responsible for lost, theft or damage to personal property.

5. No pens of any sort may be used; the Library will provide pencils for those who need them. Tape recorders, laptop computers and other mechanical electronic research aids are permitted provided the building permits such usage and that other researchers are not disturbed. All notepaper and equipment will be examined by the staff when researchers are leaving the Reading Room with these materials.

6. Each researcher is generally permitted one archival box or two books at a time from the holdings. Some materials are more tightly controlled, however. By signing this form all users agree to respect and abide by all controls and restrictions. All original materials must be handled with great care and rest on the table at all times. Researchers must preserve the established order of the materials in manuscript collections. Do not place notepaper on books or manuscripts when taking notes. No tracings or rubbings of any kind may be made nor marks of any kind made in or on any materials. No existing marks may be erased. Unopened pages in books should be shown to the staff. Researchers are not permitted to open them themselves.

7. Before leaving, researchers must return all materials to the staff. In cases where use will be continuing, materials may be placed on reserve. At the end of the day, researchers should begin preparing to leave fifteen minutes before closing time.

8. Before any material from the Department's Collections is used for publication, clearance must be obtained from the University Librarian. Staff will provide copies of the Application to Publish form to be submitted to the University Librarian, William Madison Randall Library, University of North Carolina at Wilmington, 601 S. College Road, Wilmington, NC 28403-5616. It is very important that researchers obtain permission for the publication of materials not clearly in the public domain. The Copyright Act of 1978 (PL 94-553) provides statutory protection for all writings from the dates of their creation, whether or not they are formally copyrighted, and extends copyright protection to all unpublished works now protected under common law. In addition, the Library holds copyright to some of its collections and may have important copyright information about others.

9. Photocopies will be made by staff as time permits. Materials which are oversized or in fragile condition may not be photocopied

10. For security purposes these rules are strictly enforced
