Donor Record Form: Please fill this out and submit with your gift when donating to Randall Library.

I. MONETARY DONATIONS

Monetary donations (including memorials) are gratefully accepted for enhancing the delivery of library services.  We have in the past used gift funds for purchases of materials for the collection and/or items of equipment or supplies, art works and other activities. In any case, specific titles to be purchased, or other items to be purchased, with donated funds will be coordinated by the University Librarian and if denied with the donor. All monetary donations will be received by the University Librarian for appropriate handling and recorded through the Advancement Services accounting system and will be acknowledged by the Library.

II. DONATIONS OF BOOKS AND OTHER MATERIALS(In Kind)

Books and other physical materials are gratefully accepted, and actively solicited, by the Library with the following stipulations:

1. We will add to the collection only those titles that are considered appropriate in terms of current collection development policies and priorities. Materials accepted in the past have included, books, journals, art work, CDs, furniture, supplies, manuscript materials, videos, music scores, films, scripts, plants, cameras, and computing items.

2. We will assume authority to discard, sell, or exchange all titles deemed inappropriate for addition to the collection unless the donor requests return of unused materials.

3. We will determine how all added gift materials will be cataloged and/or housed for use.

All donated books and materials should be delivered to the Administrative Office for appropriate acknowledgement.

III. ACKNOWLEDGEMENT OF DONATIONS

Each donation, monetary and otherwise, will be acknowledged by the library as soon as possible after the donation has been received. Bookplates and other forms of acknowledgements can be used. If requested by the donor, the Library will place a bookplate in each gift book added to the collection to identify the donor of the book. The library will also display an image of the bookplate in the library’s catalog record as a more visible way of acknowledging the donation. Other special acknowledgements of donor generosity may be offered or requested beyond bookplates depending on size of gift and type of material.   [i.e. Leadership Grove*, room naming opportunities, plaques, special collections, receptions, publicity, etc...]

IV. FINANCIAL APPRAISALS

The Library does not have the authority to make financial appraisals of donated materials. The Library, if requested, will supply the donor a complete list of donated materials. We are glad to work with donors so that they understand the appraisal process and will help guide them to sources for appraisals they desire.

*Randall Library will donate a tree in the Leadership Grove on the UNCW campus to thank donors who have contributed materials valued at more than $10,000.
