Search III

Student assistant searchs in III for added copies/duplicates/or holdings at FSU and UNCP.

Student assistant makes print outs from III for added copies/duplicates/held at FSU or UNCP.

Set added copies/etc. separately on the cart.

Items not in III

Student assistant creates importable search file for catme

A search key is input onto a disk (file name import.txt) for each item on the bookcart.

The cart and disk are returned to copy cataloger.

Search OCLC Using Catme for Windows

Using the Cataloging Microenhancer For Windows (CATME) search OCLC.

Import the searches input by student assistant into CATME.

Run search.

View CATME report for failed/multiple+10 result searches.

Return items that failed to student assistant for searching in Worldcat and new import disk.

Editing

View your saved/retrieved records.

Make the appropriate editing changes:

  • apply the constant data field for item and bib information
  • upgrading CIP
  • create rough call numbers if there is no call number
  • check for bibliographies classed in the Z's and change to non Z call numbers
  • convert non-LC subject headings (MESH, British Precis) to the appropriate LC headings

If there is a change you are unsure about, for instance a subject heading change or several possible call numbers, leave the
original non-dlc subject heading and add the dlc heading you think is appropriate and add each call number you are considering
in the record.

Print out records from CATME (mark the records and print).

Place printouts in books, mark things you have a question about.

Tip down on the cart books that you have specific problems with or questions about the cataloging.

Put the bookcart in the que for reviewing by a Cataloger.

While the bookcart is in the que the student assistant will write call number on the next right hand page after the title (top,
center) in pencil.

Get back from Cataloger.

Make any changes marked by Cataloger (call number, location, subject...)

Remove book jackets if not going to Recreational Reading.

Updating, Labels and Exporting

In CATME for Windows mark the records to update, export, label. Update before 9 am or after 5 pm.

Fix any problems and rerun any records that failed to update, before 9 am.

Run labels.

Export the records into the OPAC.

Hand type any labels for books that are added copies, volumes, etc. Only if the record is already in III. Or use a dummy
record in CATME to run those labels.

Checking in III

Search in III, in database maintenance mode, by call number.

Add catalog date to order records.

Look at the record as the public sees it.

Processing

Put the order cards in Debbie's box.

Put the books on the processing shelf according to date (in label order as much as is possible).

Check out bindery books (making sure a copy of the OCLC bib. record is with the book for correct title) in III and put on
bindery truck for June or Lucille. Make/printout list and attach spine labels to list which goes in third left drawer of the
processing counter.

Items in III: Held by UNCP or FSU

Searching

In III, go to database maintenance, update records.

Look at existing record and item(s).

Print out bib and item record. (If it's not already with the book)

Put printout in the book. (See above) Input OCLC numbers into CATME for Windows Bibliographic Search Input.

Run CATME search.

Editing

Check record, edit pre-AACRII copy to current standards.

Overlay the record in III if the changes are too extensive and the record has been upgraded since it was originally imported into
III.

Check call numbers and non-lc subject headings. (Check for CIP to confirm call number also watch out for Z bibliography
numbers we need to change those as well.)

Convert non-LC subject headings (MESH, British Precis) if necessary.

Tip down on the cart books that you have specific problems with or questions about the cataloging.

Bring to Cataloger for review.

Get back from Cataloger.

Updating and adding item.

Update holdings using CATME, mark for labels. Run labels. Export/overlay the records that have enough changes to justify
overlaying. Add new item from old (n)

Change the call number if necessary.

Change/check copy #'s, item type, locations, status...

Add barcode and write the call number in the book on the next right hand page after the title(top, center) in pencil.

Verify the item status and location.

Add catalog date to the order record.

Add our locations to the bibliographic record.

Processing

Put order cards in front of the notification box located on the top of Debbie's filing cabinet.

Put books on shelf in date produced order and label order.

Put III printout in the printout box.

Remove book jackets if not going to Recreational Reading.

Special Considerations

NO OCLC RECORD

Books not found in OCLC give to Debbie Packer for original cataloging or hold one week and search in OCLC again.

Pre-AACRII copy in OCLC and old copy in III

Pre-AACRII copy should be carefully edited to verify subject headings, names, series, call numbers, correct punctuation.
Pre-AACRII copy will be found in old gift books and some newer books that are already held by UNCP or FSU.

BIB RECORDS THAT ARE ALREADY IN III make necessary corrections to bib rec. using print/out. Add catalog date to
order rec., add our locations on bib record, barcode book (back cover top right corner) and attach an item record to bib rec.
inserting copy no., barcode, location, etc. Using OCLC records from these book update (u) in OCLC at appropriate time:
before 9:00 am.
