Physical Processing and Labeling
All materials are placed on the processing shelves by date. Always process the earliest
date first.
Books:
Place books on book-cart spine up. With the measuring tool, mark books on spine with a pen
or pencil. This is where the label will go. Some books will be too thin to mark on the
spine and will need to be marked on the front of the book on the left side. In most cases
the labels will already be typed, and the books will be in the order as the selin
label-tape. Starting with the first book; open it to the page following the title page to
find the call number that was written in by the cataloger. The call number in the book
must match the call number on the label exactly. The label may need to be trimmed to fit
on the spine of the book. Don't let the label over-lap the spine. Labels that go on the
front of the book don't need to be trimmed. If there is a discrepancy between the call
number in the book and the call number on the selin label, don't assume anything. Give the
book back to the person who cataloged it for correcting. Remember, a book misshelved is
lost forever. Continue with the next book, and so on until all the books have labels on
them.
Some books will be paperbacks which may need to be placed in a temporary binder. Thick
paperbacks with a thick glossy cover will not need a temporary binder. Only the thin,
flimsy paperbacks will need to be placed in a temporary binder. Find the appropriate size
in the cabinet. Moisten the tape inside the temp binder and place paperback inside. On the
typewriter type a label (IN ALL CAPS) with the author on the top line;
double-space and type title (245 |a only, do not put subtitles on temp. binders) on the
next line.

Center this label on the front about 3 inches from the top. The selin-label will need to
go on the outside of the temp binder in the same place as all the other books.
If you have books that don't have a label already typed, then you will need to type a
label for them. Double check these labels against the call number in the book also before
placing the labels on the spine. Some books have other accompanying materials that
are not bound in the books such as a chart. Make a pocket for it and glue it inside the
back cover. Type a label that says "Verify Parts" and place it under the barcode
so the person at the circulation desk will see it when the book is returned.

After all labels have been placed on the books, the labels need to be ironed. This makes
the label stick to the book. Place book on the iron with the label side down. With a
little pressure leave it on the iron about 4 to 5 seconds. This will give the glue enough
time to melt and become sticky. Turn the book from side to side so that the whole label
gets hot.
After book labels have been ironed, the books need to be stripped with the tattle tape.
There are two kinds. Single-sided and double-sided. The single-sided strips go in the
spines of the books. If the book is too thin and the strip will not go in, use a
double-sided strip. The double-sided strip is placed between two pages approximately
mid-way in the book.
Reference books, Indexes and Atlases need to be stamped with the stamp that says "FOR
USE IN LIBRARY ONLY". They are stamped on the upper middle inside cover and
accompanying page and the inside cover of the back and the accompanying page. If there is
important information on these pages, you may need to adjust where to place the stamp.
Ready Reference books need a blue piece of tape on the spine.
All books must then be stamped with the ownership stamp that says: "Randall Library
UNCW".
They must be stamped on all three sides of the spine. A good way to know which way the
label goes is to place the book down on the table front side up. The stamped label should
easily be read from this angle.
Recreational books and juvenile books that are accompanied by a cover must be placed in a
jacket. Recreational books also need a piece of red tape on the spine above the call
number before the book is place in the jacket.
Books are now ready to be taken to Circulation for shelving. Take Reference books and
Ready Reference books to the Reference desk and shelve them on the new book shelf which is
behind the Reference Desk.
Audiovisual Materials
Videos
Some videos come already in a container, some come in boxes, and some come in nothing at
all. The videos that are already in a container require less processing.
Most videos will have SELIN labels typed already. Place one label on the edge of the
cassette and the other one on the outside edge of the container. Cover the label on the
cassette with clear tape. Using the iron heat the label that is on the container *do not
iron the label for the videocassette.
If there is no distinct title on the spine of the container, type one. If there is any
accompanying material inside the container, type a label for it also and cover it with
clear tape. Type another label that says "Verify Parts" and
state what is inside: example: 1 booklet. This label should be placed under the barcode so
the person checking the video back in can see it.

Videos that are in boxes will need to be placed in a video container. With front of video
box facing you cut along the right side edge of the box. This will create one flat piece.
Also cut away the top flap. Trim edges. Insert inside the flap of the video container.
This will be the cover. Place video inside container. Place barcode on top back and to the
right of video container.
Videos that have no cover at all should also be placed in a container. Process labels as
above.
Type a label showing the title only and place it on the spine. Cover it with clear tape.
Some videos are accompanied by a guidebook or some other pamphlet which cannot fit inside
the container. Place these in a temp binder if appropriate. These must say Oversize
followed by A/V . If the A/V is not on the label, the book could be mistakenly put
in the Oversize General collection.
