After Hours Access (when the Library is closed) 

Access to Randall Library when the library is closed is restricted to UNCW staff and faculty who have electronic card access to the loading dock door. Staff and faculty may not bring in family, friends, or anyone who does not work for UNCW when the building is closed even if accompanied by a Library employee. 

Electronic Card Access  

To request Electronic Card Access to Library spaces, please enter a RL Work Order in SharePoint. If you do not have access to the RL Work Order Tracking System, please email your request to //rlfacility [at] uncw.edu">rlfacility [at] uncw.edu. Electronic Card Access is not automatic when new employees are hired, and it cannot be given until a physical OneCard is issued.  

Loading Dock  

  • All UNCW staff and faculty with a UNCW OneCard and who work in Randall Library either for the Library or for a branch of the University with an office(s) in the Library (RL Partners) have electronic card access to the loading dock. 
  • Aramark employees who work at Port City Java and must have access to Randall Library on a Saturday or Sunday morning before the Library is open have electronic card access to the loading dock on a limited basis as deemed necessary by the Building Operations Manager. 
  • Access to the loading dock is not permitted for UNCW students, even if employed by the Library or a division of the University with an office(s) in the Library. 

Staff & Faculty 

  • All Randall Library staff/faculty have electronic card access to RL1013, RL1023, RL Loading Dock, Faculty Commons, Retreat at Randall, and RL Employee Elevator.  
  • Access to RL1023 should be limited to RL staff, faculty who have a business need for accessing the space 
  • All Randall Library Partners are given electronic card access to RL1013, RL Loading Dock, and RL Employee Elevator.  
  • RL Staff and Faculty can receive access to additional doors based on the division in which they work. 
  • Electronic Card access to all building spaces is given to Library Senior Leaders, Building Operations & Security Staff, and select ITDS employees. 
  • Randall Library staff and Randal Partners have 24-hour access 

Student Workers 

  • Randall Library student workers receive access to RL1013, RL1023, and RL Employee Elevator 
  • Student workers employed by Randall Library Partners receive access to RL1013 and RL Employee Elevator 
  • Randall Library student workers can receive access to additional doors based on the department in which they work. 
  • Student workers employed by Randall Library Partners can receive access to additional doors based on the unit in which they work. 
  • Electronic card access for student workers is restricted to M-TR 8 am to 8 pm. Friday 8 am to 9 pm. Door access for students who work outside these hours is the responsibility of their direct supervisor. 
  • All student card access expires at the end of each semester 
    • Renewal card requests for Intersession are due each Reading Day 
    • Renewal card requests for the following semester are due 1 calendar week before the first day of classes 

UNCW Employees 

  • All UNCW employees have access to Retreat at Randall 
  • All UNCW faculty have access to the Faculty Commons 

UNCW Students 

  • All UNCW students have access to Retreat at Randall 
  • All UNCW Graduate students have access to the Graduate Lounge 

Keys 

Master Keys 

Master keys are held by: 

  1. All Library Senior Leaders (Dean, Associate Dean, Associate Directors) 
  2. Building Operations & Security Staff 
  3. Select RL ITDS employees 
  4. The Circulation Desk has a barcoded master key that, in the event of being locked of an office or other space, employees can check out with a UNCW OneCard and promptly return. Students and non-UNCW employees are NOT allowed to check out the Master Key 

Other Keys 

Since the building was rekeyed in 2013, a process has been in place to track individual keys requests and key ownership at Randall Library. Under this policy, that process will remain in place and in accordance with University standards. 

Key requests should be entered through the Work Order Tracking List on SharePoint and are subject to approval.
